Guest Speaker Introduction

Each team is responsible for introducing a guest speaker in class. The team’s performance on guest speaker introduction will be worth 10% of the TA04 grade.

Two Weeks Prior to the Lecture Date
Start early. You never know what's going to happen - The business office may be out of gifts or gift bags and they need time to buy more. Your email may get lost in junk folder. A team member might get sick. Do NOT wait until the last minute.

It is your responsibility to make sure the speaker shows up on time and at the right location. Own the speaker event. It is your job. Be proactive! Be a leader!
  1. Team coordination of who will do what (e.g., will someone pick up the speaker and walk the speaker to the classroom?)
  2. Clear and timely communication with the speaker 
    • If you do not hear from the speaker for 48 hours, send a follow up email. Call the speaker. If the speaker works on campus, go to the office and look for the speaker. It is your responsibility, not the speaker's responsibility or the instructor's responsibility, to follow up.
  3. Copy the instructors on all email exchanges with the speaker
  4. If the speaker is from outside Chatham, ask the speaker if parking is needed. If so, ask the speaker for his/her car's plate number and call facilities management at extension 1274 to make sure the speaker gets free parking for the visit
  5. If the speaker is from Chatham, you should know the office location and office phone number of the speaker, in case you need to find the speaker
  6. Obtain the guest speaker's PPT 
    1. If the guest says the instructor has the PPT, it's the team's responsibility to get the PPT from the instructor
    2. You must set up the PPT in the classroom before the guest/instructor arrives
    3. If you need help with using the classroom computer, you need to ask for help from the IT Help Desk
    4. You should practice using the podium computer at least one day before the speaker event to make sure you know how to use the computer and projector
  7. Obtain a small gift for the speaker from the Business and Entrepreneurship Department’s Office in Coolidge 121 - See Ginger Polozoff (extension 2975) for assistance. You should give Ginger at least one week of notice so she can make sure there's a gift available for you to pick up. 
  8. Include in the gift bag a thank-you note, and every team member’s business card

    1. Obtain a copy of the speaker's bio which covers
    • educational background
    • work experience
    • areas of expertise
    • noted accomplishment 
     ==> Highlight why the speaker is qualified to speak on this topic
      2. Obtain the speaker's cell phone number
      • Text the speaker from the team coordinator's cell, identifying yourself, and asking the speaker to call or text this number for help as needed
      3. Send a proper Outlook calendar invitation to confirm details: date, time, location, speaker cell phone, team coordinator cell phone, and directions to the classroom (please include the instructor on the calendar invitation)
      Directions to the classroom should be included in the calendar invitation, and should be the exact verbiage given below:

      Come into the Chatham campus via Fifth Avenue. (GPS Coordinate: 1146 Murray Hill Avenue, Pittsburgh PA 15232.)

      Turn onto Murray Hill Avenue. (If you are coming from Oakland, turn right off Fifth onto Murray Hill Avenue.) After following Murray Hill Ave about a half mile, turn left into the Library parking lot. If the lot is full, the parking attendant may need to valet park your car.

      From the library lot, go up some steps to get to campus. 


      Woodland Hall is right across the lawn from the library. It's in the red-brick Art Gallery building next to Cafe Rachel.

      Falk Hall is the middle of three connected buildings (sporting a cupola)—Braun, Falk, Coolidge. You will see these buildings across the Quad lawn and a little to the left from the library. 

      1 week before lecture

      1. Confirm details with speaker using an Outlook invitation
      2. Request for a gift bag from Ginger's office

      1 day before Lecture

      1. Remind the speaker of the time, day and location of the speaker event
      2. Make sure you have the PPT
      3. Written contact information of the speaker: office location, office phone number, cell phone number
      4. Have the gift bag and business cards ready

      10 minutes before Lecture
      1. Set up the guest speaker's PPT on the podium
      2. Get the PPT clicker from the instructor. Test it on the PPT to make sure it works properly
      3. Give the clicker to the speaker and show the speaker how to use it
      4. Be ready to introduce the speaker using the bio. Clearly articulate why the speaker is qualified to give the lecture
      Introducing the Guest
      1. Project your voice. Make eye contact with the audience. Make eye contact with the speaker. Do NOT hide behind the podium. Stand in the center of the room in front of the audience. Rehearse so you can speak fluently without reading word by word from your notes
      2. After introduction, the team can go back to their seats and sit down
      After the End of Lecture
      1. Present the thank-you gift bag
      2. A thank-you email to the speaker, with the instructor copied on the email
